UW Health Network Updates: Turning on MFA for multiple applications

Overview

In June, UW Health will strengthen defenses against cyberattacks by turning on multi-factor authentication (MFA) for different UW Health applications and networks. MFA protects your UW Health user account against unauthorized access.

If you access UW Health web applications, please read this article carefully to understand the impacts. 

June 8 at 7 a.m. – Enable MFA for people connecting to UW Health MFA-enabled web applications from the SMPH network

Starting June 8, any person connected to the SMPH network that accesses a UW Health MFA-enabled web application will need to provide a second form of identification (aka multi-factor authentication). Some of the web applications affected:

  • UW Health Change Password Portal (password.uwhealth.org)
  • UW Health Office 365 Suite (e.g., Outlook Web Access, *SharePoint Online)
  • U-Learn
  • UW Health Apparel Store

*If you use your SMPH or UW-Madison Net ID user credentials (e.g., @wisc.edu) to access the UW Health SharePoint Online site, you will not be prompted for MFA. 

UW Health U-Connect is not affected by this change.

June 11 – Enable MFA for UW Health MyTime application

Starting June 11, when you connect to MyTime from the SMPH network or internet, you will see a new login page and be required to provide a second form of identification (aka multi-factor authentication) to access the application. The login page requires you to enter an address as the username. See the Tips section below for login and access information.

If you access MyTime from a device on the UW Health internal network, the login experience will not change. 

On Tuesday, June 14 at 9 a.m., current users of the MyTime symplr Mobile Workforce App will have a change to their login experience.

  • At that time, the first time you login, you will need to tap the “Use different account” link at the bottom of the login screen.
  • You will be directed to a screen where you will need to enter an address for the username. If you do not have an UW Health e-mail address, enter [UW Health User Id]@pa.uwhealth.org for the username. If you have an UW Health e-mail address, enter your UW Health email address for the username. Follow the prompts from there.
  • Every time you login thereafter you will see a single field with the hospital code populated on the login screen. Tap “Continue” to proceed and follow the prompts.

June 18 (after completion of Oracle update) – Enable MFA for UW Health Oracle ERP and EPM Applications

After completion of the Oracle Cloud update, when you connect to the Oracle Cloud applications ERP or EPM from the SMPH Network or Internet, you will see a new login page, and you are required to provide a second form of identification (aka multi-factor authentication) to access the application.

Tips

Here are some tips for accessing UW Health web applications that have a new login experience:

Start your web browser in Incognito/Private Browsing mode to avoid sign-in issues. For keyboard shortcuts to start your browser in Incognito/Private browsing mode, view Step 1 in this document.

The login prompt will require an address for the username (do not use your @wisc.edu username!)

  • If you do not have a UW Health e-mail account, enter [UWHealthUserId]@pa.uwhealth.org as the username and user account password. For example, if your UW Health User ID is abc123, you must enter abc123@pa.uwhealth.org for your username and the password associated with that username.
  • If you have a UW Health e-mail account, enter your UW Health e-mail address as your username and user account password. For example, if your UW Health e-mail address is jdoe4@uwhealth.org, you must enter jdoe4@uwhealth.org for your username and the password associated with that username.
